Aha! send’s an email notification to the Portal Users that created an idea when it’s status is changed, which is Great!
If a user replies to the email notification, their reply is added as a public comment on the idea. (which is stated in the email notification)
I can see the benefit of doing this, however the problem we have is that most users will not notice that message. So when they reply, the comment will contain their full email body which usually contains their signature, which will contain their full contact info.
It would be great if we could disable email replies being added automatically as comments.
You can now prevent email replies from becoming comments on your portal.
How it works
By default, if a portal user replies to a notification email, their response is added as a public comment on the idea. This behavior is noted in the header of the email. You have been able to hide this header in the 'Comments' portal setting under Emails > General. Now, when you hide the header, the portal will also prevent any replies from becoming comments.
How do we apply this?
We too had a situation like Carolyn. Began in the wee hours of the morning, and generated an email about every 60 seconds and ran for a few hours before being detected. All together, it appears that over 300 emails were sent to 80 people that were associated with two ideas. I understand that Aha! has a filter in place to help prevent this from happening, but in this case, it did not perform as intended.
This is a huge risk to our idea portals, as if they are associated as a nuisance, people are going to avoid using them. As a result, we have already seen some of the users impacted by this situation have disabled their accounts.
We need to move forward with an option to be able to turn the email reply feature off.
We would also like to turn this off because we had an auto-reply issue cause a never ending circle of comments/emails on one of our most popular ideas.
There needs to be more control over what can cause emails to be send out.
