Add setting to allow document deletions when other record deletions are disabled

What is the challenge?

• Aha! offers an account-wide setting that prevents non-admin users from deleting records, including documents. However, documents may not need the same deletion restrictions as other records. Administrators cannot currently allow document deletion while keeping those other records protected, without turning off the account wide setting and managing custom roles.

What is the impact?

• The all-or-nothing approach limits flexibility. Teams must either prevent non-admin users from deleting documents or disable the account-wide restriction and manage deletion permissions through custom roles. The custom-role approach adds administrative overhead and increases the risk of accidentally granting users permission to delete records that should remain protected. This means internal security needs may not be met.

Describe your idea.

• Add an account-level setting that allows non-admin users to delete documents while deletion remains disabled for other record types. Show this option only when the account-wide deletion restriction is enabled, so administrators can clearly understand and manage the exception for all users without needing to manage custom roles.
