Help us find and fix voter email domains that aren't mapped to Organizations

We imported our initial list of Organizations into Aha from our CRM tool. After doing this, we found several hundred email domains with previous votes in Aha that didn't map to an org. This isn't a big surprise: our CRM data that links email domains to customers isn't perfect.

It'd be useful to have functionality in Aha that shows email domains that aren't linked to an organization, probably sorted by total votes from each domain. Ideally, you could assign them to an org right then and there. Bonus points if Aha guesses and lets us accept the suggestions in bulk: e.g. xyz.co.uk is probably XYZ Corp, 123.co.au is probably 123 LLP, accept and link.

To be clear, this isn't a one-time use need: we don't expect to turn on auto-population of organizations. So we'll have to audit and update on an ongoing basis.

Thanks for the fast response. My report is very similar, but I did the pivot within Aha! instead of Excel, filtering for blank organization and sorting rows by the vote count. We'll keep this idea open and think about a possible solution. Thanks again.

    Hi Kelly,

Creating a report was onerous, if there's a better way to do this, I'm all ears. I created a list report (see attached for the fields), exported to Excel, filtered down to "org name = blank", then created a pivot on what remained. Pivot was "vote created by email domain" as the row, "count of idea name" was the value. That gave us >650 email domains that weren't assigned to orgs, sorted by total vote count. I've yet to figure out a programmatic way in Excel to re-map those back efficiently. If I do, we'll import as a CSV.

On not using auto-create: first, organization merging isn't working, there's an open support ticket that Reilly O'Connor is helping us with. That's part of why we don't have auto-populate turned on. In general, we want our CRM tool to be the system of record for organizations, so we'll create them programmatically in Aha via API. If Aha auto-generates new orgs by email, we'll have lots of duplicates to merge. Merging is a time consuming one-at-a-time process today. I need to file another idea about making this easier.

Hi Brian. Were you able to construct a report to show you all the domains not linked to an org, sorted by votes? If not, I'm happy walk through that. The report will get you part of the way there and will hopefully be smaller on an ongoing basis.

The idea for Aha! to suggest an organization is great and we'll keep that in mind.

I'm curious why auto-creation of organizations doesn't work for you all. Could you share some more about that? You could create a report to review new organizations periodically and remove/merge any that you discover to be duplicates. That would likely save some time over using the email domain report above.

    Thanks!
